An emailed deal is rarely one neat document. It may be a message with an application, appraisal, credit report, statements, title material, and broker notes. AI helps when it treats the package as evidence that still needs to be checked.
1. Preserve the package and classify the files
The first step is to keep the attachments together, record their names and types, and classify what each file appears to contain. A mortgage application, appraisal, credit report, purchase agreement, and supporting statement answer different underwriting questions. A classifier should not silently turn an unrecognized file into a fact.
2. Extract facts and show uncertainty
Structured extraction can pull borrower names, property addresses, loan amounts, values, income, liabilities, credit details, and other supported fields into one view. The reviewer needs the source document and enough context to resolve a conflict: an application may say $800,000 while an appraisal is older or uses a different scope.
Missing fields should remain missing. A blank prior-charge field is not proof that no prior charge exists, and an unreadable credit page is not a clean repayment history.
3. Calculate the relationships that drive review
Suppose the package requests $500,000 and provides a $900,000 value. The standalone proposed-advance-to-value ratio is 55.6%. If a registered first charge of $250,000 is retained ahead of that proposed second advance, the aggregate prior-charge-plus-proposed-advance amount is $750,000 and the aggregate ratio is 83.3%. The system can calculate both when the inputs are available, but an underwriter must confirm the priority, balance, and value basis.
4. Surface risk questions, not just extracted fields
- Does credit repayment conduct support the proposed exit?
- Is the collateral type liquid in its actual location and condition?
- Do comparable sales support the valuation or suggest a narrower range?
- Are title, tax, condo, environmental, tenancy, or construction issues unresolved?
- Is the exit strategy documented, timed, and realistic for this borrower?
- What policy exception is being requested, and what evidence supports it?
5. Let a person close the loop
The final step is not an automated approval. It is a review of the evidence, unresolved questions, conditions, and exceptions by the lender's authorized underwriter. An emailed package becomes useful when the path from attachment to decision is visible and repeatable.
